Office Manager / PA

Beyond Retro is dedicated to bringing high-quality vintage garments and accessories to its fashion-forward customers with our stores in the UK and Sweden, and around the world with our website.

A full-time opportunity has arisen for a focused, hardworking Office Manager/PA. You will be responsible for organising and supervising all administrative activities in order to maintain and facilitate the smooth day-to-day operation of the office. Includes daily liaising with Overseas Head Office and assisting the Managing Director.

Key Responsibilities:

  • PA support to the Managing Director and CEOs in the Canada Head Office as and when required
  • Arranging international travel, hotels, expenses for Director and team
  • Working with the CEOs' PA in Canada
  • Managing petty cash for head office and all stores
  • HR administration for all staff, making sure paperwork up to date
  • Assisting with recruiting
  • Facilities Management - booking and managing contracts for electricians, plumbers, builders, pest control, security alarm, key holding and waste removal
  • Banking and sending out cheques
  • Project assisting with new store openings
  • Purchasing/obtaining quotations for all stores supplies and shop fittings
  • Point of contact for our 4 retail stores and cafe, assisting them with any building problems and/or supplies
  • Line Manager to Office Assistant
  • Performing periodic site visits as determined by either the Managing Director or Head Office to assist shops with the organization and maintaining of all required paperwork

Skills and abilities:

  • Excellent research abilities
  • Be fully computer literate with all Microsoft Office programs
  • A strong communicator - both written and verbal
  • Confident with people of all levels, from customers through to directors
  • Demonstrable ability to work independently and without supervision to meet deadlines
  • Strong organisational skills, including high attention to detail to ensure accuracy
  • Proactive team player, flexible, dependable, professional attitude
  • Ability to work on multiple projects in a fast paced environment
