Office Manager/PA for Fashion Retail UK & Sweden

A full-time opportunity has arisen for a bilingual (Swedish/English speaking) Office Manager/PA within a fast paced fashion company. Based in our central London Office, you will be responsible for organising and supervising all administrative activities in order to maintain and facilitate the smooth day-to-day operation of the office and stores.  Includes daily liaising with Canadian & Swedish Office and assisting the UK Managing Director. Day to day language is English.

Responsibilities will include:

  • Providing support for 4 UK retail stores assisting them with any maintenance issues and or supplies

  • Administrative support to Sweden Office

  • Facilities Management - booking and managing contracts for electricians, plumbers, builders, security alarm, key holding and waste removal etc

  • PA support to the Managing Director and CEO’s in the Head Office as and when required

  • Managing petty cash for head office and all stores

  • HR administration for all employees, ensuring paperwork is up to date

  • Assisting with recruiting

  • Arranging international travel, hotels, expenses for Director and team

  • Working with CEO’s PA as required

  • Banking and account payments

  • Project assisting with new store openings

  • Purchasing/Obtaining quotations for all stores supplies and shopfittings

  • Performing periodic site visits as determined by either the Managing Director or Head Office to assist shops with the organization and maintaining of all required paperwork;

 

You will have the following skills and abilities

  • Day to day language is English

  • Fluent in both Swedish and English - written and spoken

  • Excellent research abilities

  • Be fully computer literate with all Microsoft Office programs

  • A strong communicator both written and verbal

  • Confident with people of all levels from customers through to directors

  • Demonstrated ability to work independently and without supervision to meet deadlines.

  • Strong organisational skills, including high attention to details to ensure accuracy.

  • Proactive team player, flexible, dependable, professional attitude.

  • Ability to work on multiple projects in a fast paced environment.
